Position Summary

Market Muscles is a technology company dedicated to empowering health & wellness facility owners to elevate the lives of their community.

Market Muscles is the premier website company in the martial arts & fitness space, currently helping over 1000 facilities around the world.

We are seeking a highly detail-oriented, resourceful Office Manager for a full-time position in Norfolk, VA. The successful applicant will support our team with a range of logistical needs, including schedule management and operational tasks. Applicants must have good working knowledge of modern productivity software and operations in a modern office environment. We’re looking for someone with prior experience working with senior executives who will help us run more effectively.

Responsibilities

  • Keep office organized & clean during the work day
  • Water office plants on a regular basis
  • Purchase equipment & devices / manage equipment inventory
  • Manage software & tool contracts and subscriptions
  • Communicate with building management for repairs and maintenance
  • Book/manage travel plans for business events
  • Follow up on overdue accounts receivables
  • Order & maintain office supplies/snacks
  • Attend & take notes during meetings & trainings
  • Maintain company digital file system
  • Plan & execute employee birthdays / anniversaries
  • Book team events & outings
  • Send client gifts
  • Assist with writing & maintaining company newsletter
  • Assist marketing team with writing blog posts, contributing ideas, etc.
  • Assist with event planning
  • Manage outstanding invoices to vendors
  • Provide support on special projects 
  • Schedule & book guests for company podcast

Qualifications:

  • Minimum 2 year of professional experience working as an administrative assistant or office manager
  • Experience developing internal processes and filing systems
  • Demonstrated ability to learn on the job and juggle multiple tasks
  • Strong communications skills, including the ability to listen to the needs of others
  • Strong discretion and judgment
  • Passion and pride in your work
  • Experience using a range of productivity tools (i.e. Google Docs, Office, Slack, Dropbox, Notion, or Airtable)
